What the numbers say
- Per-seat pricing makes small tools add up. At 10 people, most of the tools here with published prices cost between $1,000 and $6,000 a year each. A team using a CRM, a quoting tool and an onboarding tool at those prices pays well over $10,000 a year before the team grows.
- Minimums matter more than list prices for small teams. Rocketlane's minimum of 5 team members means at least $2,940 a year on Standard even for a team of two. BambooHR charges a flat $250 a month on Core for any team of 25 or fewer. Productboard's Business plan lists a minimum of 5 makers.
- Caps push teams up a tier. CoSchedule's Professional plan stops at 3 users, and its campaign features are listed only on Suite. PandaDoc's Starter plan allows 5 templates. Teams often pay for the next tier to get one feature.
- The cheapest tools are the hardest to beat by building. Timetastic at $1.50 per user per month costs less than most teams would spend maintaining their own time-off tracker. Building makes sense there for fit and control, not for price.
- "Contact sales" usually means enterprise focus. The five tools that publish no price at all mostly sell to larger organizations; Kissflow, for example, describes fixed annual agreements and implementation by its own solution architects. That does not make them a bad choice, but a small team will not see a price until it talks to sales.
